Booking Terms & Conditions
These terms apply once you confirm a booking with us. We keep them plain, because clear terms are part of a good trip.
Last updated: 1 January 2026. They should be read together with our Terms of Use and Privacy Policy, and with the individual terms of each Supplier.
1 — Our role
XF Travel Limited acts as a travel agent. We arrange travel products and services provided by third-party Suppliers — airlines, hotels, cruise lines, tour operators, transport and others. Your contract for those services is with the relevant Supplier, subject to their terms; our contract with you is for arranging them with due care.
2 — Quotations & confirmation
A quotation sets out the services, the price and the period for which it is valid. A booking is confirmed only when we issue a written booking confirmation and the required payment has been received. Until then, availability and price are not guaranteed. Please check every detail on your confirmation — names, dates, routings — and tell us at once if anything is wrong.
3 — Payment
A deposit or full payment may be required at the time of booking, depending on the Suppliers involved. Some services — such as air tickets and many cruise fares — require full payment at the time of ticketing. Balance due dates are stated on your confirmation. If payment is not received by the due date, a booking may be cancelled and Supplier charges may apply.
4 — Prices
Prices are quoted in the currency shown on your quotation and are based on costs, exchange rates and taxes at the time of quotation. Until a booking is confirmed and paid, prices may change if Supplier fares, taxes, fees or exchange rates change. Any service fee we charge for our arrangement work is shown separately on your quotation.
5 — Changes by you
If you wish to amend a confirmed booking, we will do our best to help. Changes are subject to availability and to the Supplier's rules, and Supplier amendment fees plus, where applicable, a reasonable handling fee may apply. Some tickets and fares cannot be changed.
6 — Cancellations
Cancellation of a confirmed booking must be made in writing. Charges are set by the relevant Suppliers and depend on how far ahead of travel you cancel; they can be up to the full cost of the arrangements. Any handling fee for our work in placing and cancelling the booking is non-refundable. We will always tell you the applicable charges before you cancel where we can.
7 — Changes by Suppliers
Occasionally a Supplier must change or cancel arrangements — for example a schedule change or an itinerary adjustment. Where this happens we will pass on the change promptly and help you find the best alternative. Your entitlement to a refund or re-routing in these cases is governed by the Supplier's terms and applicable law.
8 — Documents & travel requirements
You are responsible for holding a valid passport and any visas, permits and health documentation required for your journey, and for meeting entry requirements at every destination and point of transit. We are glad to offer general guidance, but requirements are set by governments and can change. Please check your official travel documents carefully as soon as you receive them.
9 — Insurance
We strongly recommend that all travellers hold suitable travel insurance covering, at minimum, medical costs, cancellation and personal belongings, appropriate to the journey and its activities. It is your responsibility to ensure your cover is adequate.
10 — Complaints & governing law
If something is not right during your trip, please tell the Supplier and contact us as soon as possible so we can help resolve it while you travel. Any complaint you wish to raise afterwards should be sent to support@xftravelxf.com promptly on your return. These Booking Terms are governed by the laws of the Hong Kong Special Administrative Region, and disputes are subject to the exclusive jurisdiction of the Hong Kong courts.
