1 — Who we are

XF Travel Limited ("XF Travel", "we", "us") is the data user responsible for the personal data collected through this website and our travel-planning service. Our office is at Flat A516, 5/F, Efficiency House, 35 Tai Yau Street, San Po Kong, Kowloon, Hong Kong.

2 — What we collect

We collect only what we need to answer your enquiry and, if you proceed, to arrange your travel. This may include:

• your name and contact details, such as email address;
• travel details you provide — destinations, dates, number of travellers, preferences and budget;
• information needed to complete a booking, such as traveller names as shown on travel documents and, where a Supplier requires it, passport or identity details;
• correspondence between you and our desk.

We ask for identity and travel-document details only when a confirmed booking requires them, and only to the extent the relevant Supplier or authority needs.

3 — How we use it

We use your personal data to:

• respond to your enquiry and prepare quotations;
• arrange, confirm and reconfirm the travel services you book;
• keep in touch with you before, during and after a trip about that trip;
• meet our legal, accounting and regulatory obligations.

We do not sell your personal data. We do not send marketing messages unless you have asked us to, and you can ask us to stop at any time.

4 — Sharing with Suppliers

To fulfil a booking we share the necessary details with the relevant Suppliers — for example airlines, hotels, cruise lines and tour operators — and, where required, with the payment providers and authorities involved in delivering your trip. We share only what each party needs, and we ask them to protect your data.

Some Suppliers or destinations are outside Hong Kong, so arranging international travel may involve transferring your data across borders. Where this happens, we take reasonable steps to ensure your data is handled with appropriate protection.

5 — Retention

We keep personal data only as long as needed for the purpose it was collected, and to meet legal and accounting requirements. Enquiry data that does not lead to a booking is kept for a limited period and then deleted. Booking records are kept for the period required by applicable law.

6 — Security

We apply appropriate organisational and technical measures to protect personal data against unauthorised access, loss or misuse, and we limit access to staff who need it to do their work.

7 — Your rights

Under the Personal Data (Privacy) Ordinance you may request access to, and correction of, the personal data we hold about you, and you may ask us about our data-handling practices. To make a request, contact us using the details below. We will respond within the time the Ordinance requires.

8 — Cookies

This website uses only the minimal technical means necessary to display pages and remember your accessibility preferences within a visit. We do not use advertising trackers or third-party profiling cookies. Your browser settings let you refuse or delete cookies; the Site will continue to work.
